Bring the equipment model, the manual requirement and the full name of the oil already in service. Note the operating conditions and any specific approval you need. Before a top-up or changeover, ask about compatibility and the procedure for the proposed product.
Write down the complete lubricant requirement, including oil type, viscosity and any performance specification. Keep an OEM approval as a separate item. A request for hydraulic oil 46 is useful as a starting point, but it may leave out the fluid type the machine needs.
Two oils can have the same viscosity and different intended uses. Note the equipment model, operating conditions and the point being lubricated. A hydraulic system, an industrial gearbox and a compressor should each be matched against their own requirement.
For a top-up or changeover, record the complete name of the current oil. Ask about compatibility and any changeover procedure for the proposed replacement. Matching a viscosity number does not establish that two products can be mixed.
Compare the selected product and grade against the manual requirement. Keep the test method and measurement conditions with each property. An SDS answers handling and safety questions; it does not replace the technical data used to compare products.
Use one line for each product and grade. Add the pack size with its original unit, quantity, destination and document needs. If you do not yet know the right product, send the manual wording and application instead of guessing.
| Review item | What to record | How to use it |
|---|---|---|
| Oil family | Hydraulic / gear / compressor / engine / another specified use | Do not compare viscosity before the product family. |
| Grade | Complete ISO, SAE or product designation | Retain suffixes such as DAH 46A. |
| Performance | Full specification and separate OEM approval, if required | Keep the evidence requirement explicit. |
| Operating context | Load, speed, temperature and water exposure where relevant | Use the equipment guidance rather than a universal rule. |
| Existing oil | Product name, use and reason for replacement | Review mixing and changeover before substituting. |
| Order line | Product, grade, package, quantity and destination | Use one line per variant. |
